How a Casa Co stay is enquired about, agreed, contracted, paid for and closed out — across the guest, the host and Casa Co.

What changed in v3.4

The bond no longer sits with Casa Co. It is collected on the second invoice, passed to the host before check-in, held by the host during the stay, and returned by the host directly to the guest afterwards — with proof of the transfer uploaded to the platform. See Bond handling below.

Payment methods

Payments run through Casa Co's existing Stripe account, connected to Xero. Xero generates and emails the tax invoice with a Pay now button.

Surcharging ends 1 October 2026. Australian merchants can no longer add a surcharge to Visa, Mastercard or EFTPOS. If a guest pays a $20,037.50 invoice by card, Casa Co absorbs roughly $375 and cannot recover it. Method ordering in the checkout becomes the only steering tool.
PayTo is the default. Seconds to settle, works weekends, $3.50 whatever the amount, and reconciles itself through Stripe into Xero. A 48-hour hold is a PayTo hold — BECS cannot settle inside it and bank transfer cannot settle across a weekend. The deadline fits the method, never the reverse.
Rates were researched in September 2026 and need verifying against the Casa Co Stripe dashboard. Published pricing changes on 1 October 2026 and again on 1 April 2027 following the RBA interchange reforms.

Invoicing

The risk this creates. The guest pays Casa Co, on a Casa Co tax invoice, under a Casa Co contract. If the host doesn't return the bond, the guest pursues Casa Co — the money moved but the obligation didn't. Casa Co is now guaranteeing an outcome it doesn't control.
The control that makes it workable. Hold the host payout until the bond return is evidenced and the guest has confirmed it. The payout ($35,000 on the Brighton booking) and the bond return ($5,000) both fall due after check-out, so sequencing them costs nothing operationally and turns a request into a condition. It is the only leverage available once the money has left. See decision D21.

Live issue on this booking. The deposit deadline is a Saturday. Bank transfer does not settle on weekends and BECS takes two business days, so PayTo is the only rail that can meet it. PayTo agreements are authorised in the guest's banking app and carry their own limits — $20,037.50 may need the guest to approve a higher cap. That has to be raised today, not at 4pm Saturday.

Why it matters
This is the second half of the evidence. A receipt can be edited, be for the wrong amount, or record a transfer later reversed — the guest saying the money landed is the only thing that actually proves it did.

  • A deduction requires itemised evidence and Casa Co approval before the remainder goes back.
  • Reminders at check-out, day 3 and day 6. Escalation at day 7.
Why the payout is held
The guest paid Casa Co under a Casa Co contract, so Casa Co carries the obligation even though the host holds the money. Sequencing the $35,000 payout behind the $5,000 return is the only leverage available. Both fall due after check-out, so it costs the host nothing if they act promptly.

The genuinely new risk. A booking can confirm on Monday and un-confirm on Thursday, with the calendar already updated. Needs the dates re-held and the guest re-invoiced on PayTo.
Card dispute
A chargeback can arrive months after check-out. Bank rails cannot be charged back — another argument for steering high-value bookings to PayTo.
Overpayment

Two-sided evidence
Host uploads a receipt; guest confirms it landed. A booking closes only when both are green.
Rules applied
  • Sorted by days since check-out. Anything past 7 days is overdue and escalates.
  • The typed amount is checked against the bond figure — a mismatch flags automatically rather than relying on someone reading the PDF closely.
  • The host payout stays held until both columns clear. This is the leverage.
  • A guest reporting non-receipt opens a case regardless of what the host uploaded.
Amelia's daily job
Roughly the same weight as the old bond refund queue, but with chasing instead of processing. The overdue row is the one that matters.

What v3.4 adds
A bond transfer to the host before every check-in, on top of the payout after it. Two outbound payments per booking instead of one.
Rules applied
  • Preparer and authoriser must differ above an agreed threshold, on EFT rows only.
  • Host payouts stay in a held state until the bond return clears.
  • Destination accounts are those already on file, not entered fresh at payment time.
  • Every outbound payment carries a booking reference into Xero.
Remaining exposure
Host payouts and bond transfers are the largest outbound amounts and the only ones a person can misdirect. That is where the control needs to be tight.

Questions for Amelia

These affect how the process actually runs, and nobody else can answer them.

  1. Enquiry volume. Roughly how many enquiries a week, and how many convert? It decides whether the enquiry inbox needs to be a proper queue in version one or can wait.
  2. The 48-hour window. Is that what you actually use, or is it longer in practice? It's the default here and it drives which payment methods are even possible.
  3. Card payments. Have guests expected to pay by card, and at what sort of amounts? This decides D2.
  4. Chasing. Who chases a late balance today, and what does that look like? Xero can send reminders automatically — worth knowing what they'd be replacing.
  5. Cancellations. How many have there been, and how were they handled? The forfeiture rules here are new and should match what already works.
  6. Bonds. How are they handled today, and have there ever been problems getting one back to a guest? The whole bond section rests on hosts returning them promptly.
  7. Anything above that isn't how it actually happens. This was reconstructed from Evan's notes. Corrections are more useful than agreement.
